Admin Support

Job summary

As an Administrator in Central East's System Coordination Centre (SCC), you will help keep a busy NHS team organised, informed and connected, supporting its work to coordinate services and maintain safe patient care.

The SCC works with hospitals, ambulance services and other partners across Central East to understand pressures and support practical responses. Your administrative support will help ensure information is accurate, meetings run smoothly and actions are recorded and followed up.

We are looking for someone who is organised, approachable and reliable, with good communication skills and attention to detail. You will be comfortable using digital systems, managing competing tasks and asking for support when priorities change.

You will join a supportive team where your contribution matters. Whether you are minuting meetings, arranging a system call or preparing information for colleagues, your work will help the SCC respond promptly and effectively.

This role is home-based, with occasional travel to ICB offices across the Central East area. The SCC operates from 8am to 6pm, seven days a week, and your working pattern will be agreed within these service hours.

Main duties of the job

You will provide administrative support that helps the SCC run smoothly:
  • Keep information accurate: collect and enter information from partner organisations, update records and highlight missing or inconsistent information to colleagues.

  • Support meetings and calls: arrange meetings, circulate papers, record key points and actions, and send reminders to support follow-up.

  • Help communication flow: monitor shared inboxes, respond to routine enquiries and pass information promptly to the appropriate colleague.

  • Maintain clear records: keep contact lists, action logs, shared files and other team records organised and up to date.

  • Support reporting: bring together information for situation reports and briefings, using agreed templates and checking accuracy.

  • Support the team during busy periods: provide timely administrative assistance during increased service pressures, escalating urgent queries or concerns to the SCC manager.

  • Improve everyday processes: suggest practical improvements to administrative tasks and support colleagues to use shared systems consistently.
