Role Overview

We are seeking a highly skilled and experienced Team Assistant to support our Family Film team in London. In this pivotal role, you will manage a dynamic calendar, prepare for high-level meetings through in-depth research and documentation, coordinate domestic and international travel arrangements, organize team events and offsites, support cross‑functional projects, and foster strong relationships across diverse teams.

Key Responsibilities

  • Maintain a high-volume, complex calendar, scheduling meetings internally and externally across multiple time zones.
  • Proactively prepare for all scheduled meetings: research, compile industry and topic‑specific information, gather necessary documentation to fully brief executives.
  • Manage heavy volume of communication internally and externally with a high level of professionalism.
  • Read, research, route correspondence; draft emails and documents; collect and analyze information.
  • Provide support and coordination for projects and initiatives such as creating presentations, organizational charts, and updating trackers with key business data.
  • Coordinate domestic and international travel arrangements, including passport renewals, visa processing, and expense reports.
  • Attend and take notes in meetings, circulate pertinent information to the broader team.
  • Work collaboratively with administrators and coordinators within the larger Content team and across various functions (Production, Post‑Production, Marketing, Finance, and other internal partners).
  • Plan team and cross‑functional offsites, coordinating lodging, catering, flights, A/V, and transport.
  • Coordinate and execute talent gifting and events.

  • Exceptional organizational abilities: proven track record managing complex calendars, prioritizing tasks, and coordinating multiple projects simultaneously.
  • Advanced communication skills: outstanding written and verbal communication, drafting clear correspondence and interacting professionally with stakeholders at all levels.
  • Research and analytical skills: efficiently gather, analyze, and synthesize industry and subject‑specific information.
  • Proactive problem‑solving: anticipate needs, exercise sound judgment, and make informed decisions, often thinking creatively to resolve challenges.
  • Discretion and integrity: handle confidential and sensitive information with utmost professionalism.
  • Cross‑functional collaboration: experience partnering effectively with diverse teams across functions such as Production, Marketing, Finance, and external partners.

  • Event and project coordination: skilled in organizing and executing team events, offsites, and special projects, including logistics, vendor management, and budget tracking.
  • Adaptability: comfortable working in a rapidly changing environment, demonstrating flexibility and resilience in managing shifting priorities.
  • Initiative and independence: self‑motivated, proactive approach, capable of operating autonomously while aligning with broader team objectives.
